This Privacy Policy explains what information we may collect, how we use it, when it may be shared, and the choices available to you.

Information collected automatically

When you visit the CancerEVOLVE website, certain information may be collected automatically through cookies and similar technologies.

This may include your IP address, browser and device type, operating system, pages visited, referring website, approximate location based on IP address, and information about how visitors use the website.

We use this information to understand how the website is being used, improve its performance and content, and maintain website security.

2. Organizational Readiness Snapshot

If you complete the CancerEVOLVE Organizational Readiness Snapshot, we may collect your responses along with information you choose to provide about yourself or your organization.

Snapshot information may be used to:

  • Generate or provide your results
  • Help you understand your organization’s current approach to intimacy-informed care
  • Support a follow-up conversation if you request one
  • Improve CancerEVOLVE tools and services
  • Understand broader patterns in organizational readiness

If CancerEVOLVE uses Snapshot information for research, reporting, educational materials, or broader analysis, information will be aggregated or de-identified unless we have received permission to identify an organization.

Important: The Organizational Readiness Snapshot is an organizational reflection tool. Please do not include patient names, medical records, or other personally identifiable patient information in your responses.

3. Health and Sensitive Information

Because CancerEVOLVE works in an area related to cancer, sexuality, intimacy, relationships, and supportive care, people may sometimes be inclined to share personal or health-related information.

Please do not submit medical records, patient information, detailed health information, or other highly sensitive personal information through general website forms unless CancerEVOLVE has specifically requested that information through an appropriate process.

CancerEVOLVE is not asking website visitors to provide protected health information through ordinary contact, registration, or inquiry forms.

If future CancerEVOLVE services or digital tools collect health-related information, additional privacy notices or terms may apply to those services.

This section is particularly important for you. The FTC advises businesses to take a broad view of what counts as consumer health information and to understand what is collected, how it is used, who receives it, and how long it is retained.

If you subscribe to CancerEVOLVE communications, request information, register for certain events, or otherwise consent to receive updates, we may send you relevant email communications.

You can unsubscribe from marketing emails at any time using the unsubscribe link included in those messages.

Unsubscribing from marketing communications does not necessarily stop administrative messages related to a registration, purchase, service, or existing professional engagement.

6. How We Share Information

CancerEVOLVE uses trusted service providers to help operate our website and business.

Depending on the services you use, these providers may include companies that support:

  • Website hosting and maintenance
  • Email and customer relationship management
  • Event registration and videoconferencing
  • Scheduling
  • Form processing
  • File storage and collaboration
  • Security and spam prevention
  • Other business operations

These providers include:

  • Hosting.com for website hosting and data storage.
  • Google Workspace for email communications.
  • Google Drive for storing website backups and business files.
  • Calendly for scheduling and managing one-on-one appointments.
  • Zoom for online meetings, one-on-one sessions and events.
  • Google reCAPTCHA for spam and abuse prevention on website forms.
  • YouTube (Google) for displaying embedded videos.

Our website uses WordPress and Elementor to operate and manage website content and forms, and FluentCRM to manage contacts and mailing lists.

Relevant contact details submitted through Elementor forms are added to FluentCRM, which operates within our WordPress website. This database is hosted by Hosting.com. Form submissions are also sent to CancerEVOLVE by email.

When you book a one-on-one appointment through Calendly, the information you provide is processed to arrange and manage your appointment.

Where third-party content, such as YouTube videos, is embedded on our website, the relevant provider may collect information about your interaction with that content, subject to its own privacy practices.

These providers may receive, process, or store information necessary to perform services on our behalf.

CancerEVOLVE may also disclose information when required by law, to protect the rights or safety of CancerEVOLVE or others, or in connection with a business transaction such as a merger, acquisition, or transfer of business assets.

7. Selling or Sharing Personal Information

CancerEVOLVE does not sell mailing lists or personal information for money.

However, some website analytics, advertising, or tracking technologies can constitute “sharing” of personal information under certain privacy laws even when no money changes hands.

8. Cookies and Similar Technologies

CancerEVOLVE uses cookies and similar technologies to operate the website, support essential website functions, protect forms from spam and abuse, remember cookie preferences, and display embedded video content.

Some cookies may be placed by third-party services used on the website.

Our cookie preference panel includes the following categories:

  • Necessary: Cookies that support essential website functions, security, and remembering your cookie choices. These remain active in our cookie controls. Google reCAPTCHA uses cookies and similar technologies to help protect website forms from spam and abuse.
  • Marketing: Optional cookies associated with third-party services, including embedded YouTube videos. YouTube may use cookies and similar technologies for video functionality, measurement, personalised content and advertising.

We use a Cookie Manager to provide cookie notices and preference controls. In the “Customize Consent Preferences” panel, you can select optional cookie categories and choose “Save My Preferences.” You can also choose “Reject All” to decline optional cookies or “Accept All” to accept them. Necessary cookies remain active whichever option you select.

You can also adjust cookie settings through your browser. Blocking or deleting certain cookies may affect how some parts of the website function.

9. Online Tracking and Do Not Track

Some browsers allow users to send a “Do Not Track” signal or use other privacy preference mechanisms, such as Global Privacy Control (GPC).

CancerEVOLVE does not use separate advertising pixels or cross-site behavioural tracking technologies. However, third-party services embedded on our website, including YouTube, may collect information in accordance with their own privacy practices.

We use a Cookie Manager to provide visitors with choices about optional cookies. Visitors can accept, reject, or customise their preferences using the cookie controls described in Section 8.

Browser-based Do Not Track signals are not necessarily recognised as cookie consent preferences. Where applicable law requires us to recognise a legally valid opt-out preference signal, we will process that signal in accordance with those requirements.

10. Payment Information

If you purchase a product or service through the CancerEVOLVE website, payment information may be processed by a third-party payment provider.

CancerEVOLVE does not intentionally store complete credit or debit card numbers on its own website unless specifically stated otherwise.

Your payment provider may collect and process information according to its own privacy policy and terms.

11. Third-Party Websites and Services

The CancerEVOLVE website may contain links to other organizations, resources, healthcare services, research, or websites.

CancerEVOLVE is not responsible for the privacy practices of those third parties. If you follow a link to another website or service, its privacy policy and terms will apply.

12. Data Retention

CancerEVOLVE retains personal information for as long as reasonably necessary for the purposes for which it was collected, to maintain appropriate business and professional records, and to meet legal, accounting, contractual, or other legitimate requirements.

Different types of information may be retained for different periods.

When information is no longer reasonably needed, we may delete, anonymize, or securely dispose of it.

13. Data Security

CancerEVOLVE uses reasonable administrative, technical, and organizational measures intended to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.

No website, electronic transmission, or storage system can be guaranteed to be completely secure. We therefore cannot guarantee absolute security.

The FTC emphasizes that businesses handling health-related information should maintain safeguards appropriate to the sensitivity of the information they possess.

  • Request correction of inaccurate information
  • Request deletion of certain information

California guidance specifically identifies access, correction, deletion, and information about collection and sharing among important privacy disclosures, although the precise statutory rights applicable to CancerEVOLVE depend on whether particular laws and thresholds apply.

15. California Privacy Information

CancerEVOLVE is based in California.

California residents may have additional privacy rights under applicable California law. The rights available to a particular person depend on the law involved and whether that law applies to CancerEVOLVE.

Where required by applicable law, CancerEVOLVE will honor qualifying requests relating to access, correction, deletion, sale or sharing of personal information, or other applicable privacy rights.

We will not unlawfully discriminate against an individual for exercising an applicable privacy right.

The California Privacy Protection Agency currently lists the CCPA’s inflation-adjusted annual gross revenue threshold at $26.625 million effective January 1, 2025. Other statutory criteria can also bring a business within the law.

16. Children’s Privacy

The CancerEVOLVE website and organizational services are not directed to children under 13.

We do not knowingly collect personal information directly from children under 13 through the general CancerEVOLVE website.

If we learn that information from a child under 13 has been collected in circumstances where parental consent was required, we will take appropriate steps to address it.

17. International Visitors

CancerEVOLVE works with people and organizations in different countries.

If you access the website from outside the United States, information may be processed or stored in the United States or other locations where CancerEVOLVE’s service providers operate.

Privacy laws vary by jurisdiction. Additional notices, rights, or requirements may apply to particular CancerEVOLVE services or engagements.

18. Changes to This Privacy Policy

CancerEVOLVE may update this Privacy Policy as our website, services, technology, or legal obligations change.

When we make changes, we will update the “Last updated” date at the top of this page. Where appropriate or legally required, we may provide additional notice of significant changes.
